Job overview

To carry out a wide range of administrative, clerical and computer‑centred duties and provide support to the medical secretaries in a busy ophthalmology department.

Main duties of the job
  • Transcription and production from Electronic Digital Dictation system of clinic letters/reports
  • Retrieve and track case notes from Medical Records department via email and telephone
  • Use office machinery (photocopier, scanner), email and Microsoft Office (Word, Excel, Outlook)
  • Respond to telephone and e‑mail enquiries, contacting members of the public and staff of all disciplines with tact, selectivity, and confidentiality at all times
  • Support new starters during their training period
  • Attend inter‑departmental meetings to discuss any changes in working practice
  • Participate in the collective aims of the department and continually improve the level of service
  • Attend all mandatory Trust training sessions and sessions relevant to the job role
  • Provide flexibility in terms of hours worked in accordance with the needs of the service

Qualifications
  • GCSE English Grade 4 or above
  • Good keyboard skills
  • RSA/OCR Audio typing or equivalent
Job Experience
  • Previous administrative experience
  • Knowledge of medical terminology
  • Knowledge of Cerner Millennium EPR
Personal Qualities
  • Proven communication skills
  • Ability to work as part of a team and on own initiative
  • Ability to prioritise own workload and meet deadlines
  • Provide reasonable flexibility in terms of hours worked
Salary and Hours

The salary advertised is for full‑time hours. If the post is less than 37.5 hours per week, the salary will be pro‑rata. For Agenda for Change pay scales, new entrants normally commence at the first pay point of the relevant band.
