East Community Treatment Team (CTT) Administration Team - Front-facing Administration Assistant for the Civic Centre, Carlisle. This full-time (37.5 hours per week) permanent B2 Administration Assistant will provide front-facing reception duties and a range of administrative support for the clinic site. The role focuses on high level customer service both in person and by telephone, and contributes to the smooth running of adult mental health services across North Cumbria.

It is desirable that the candidate has previous secretarial experience in a similar environment; however, this post offers an ideal development opportunity for those wishing to begin a career with the NHS and to learn further administrative skills. Training and development will be provided via the CNTW Academy, and full support will come from the on-site administration team.

Occasional travel to other North Cumbria bases may be requested to provide support or cover for absent colleagues.

Main duties of the job
  • Front-facing reception duties.
  • Call handling in a busy environment with excellent customer service.
  • Good organisational skills and ability to prioritise a fluctuating workload.
  • Proven experience with Microsoft Office packages.
  • Diary management skills, coordinating room bookings.
  • Provide agreed levels of support to maintain cover when other administrative staff are absent.
  • Desirable: working knowledge of electronic patient record systems (e.g. RiO).
  • Desirable: a current driving licence and access to a car.

The post holder must be able to demonstrate the ability to deal with possible exposure to highly distressing or emotional circumstances and will be expected to participate in all relevant training courses appropriate to the role. Additional duties may be directed by the Administration Team Lead.

Person Specification Education and Qualification
  • Good general level of education up to Level 1 in English Language and Maths.
  • NVQ Level 2 in Business Administration.
  • NVQ Level 2 in Customer Service.
  • Working towards Level 2 standard in Maths and English.
Skills and Knowledge
  • Working knowledge of Microsoft applications (Outlook, Word, Excel, PowerPoint).
  • Accurate and efficient data entry.
  • Repetitive tasks performed with attention to detail.
  • Good verbal and written communication and interpersonal skills, face-to-face and non-facing customers.
  • Excellent customer care skills at all times.
  • Knowledge of office procedures.
  • Organisational and planning skills using own initiative.
  • Knowledge of working in an NHS environment.
  • Ability to maintain and update patient information databases.
Experience
  • Upheld confidentiality at all times.
  • Prioritised and planned own workload.
  • Carried out administrative tasks such as data input, receiving and making telephone calls.
  • Worked in an NHS/health care setting.
  • Processed NHS/health care documentation.
  • Used stock ordering and/or petty cash systems.
  • Worked with paper-based and electronic filing systems.
