Main duties of the job
  • Greeting patients and visitors on the telephone and face‑to‑face.
  • Booking appointments and recalls and ensuring sufficient information is recorded.
  • Ensuring efficiency of the appointment system and monitoring patient flow into consulting and treatment rooms.
  • Seeing patients without appointments who need urgent consultation in a logical and non‑disruptive manner.
  • Responding to queries and requests for assistance from patients and visitors.
  • Advise patients of relevant charges for private services, accepting payments and issuing receipts.
  • Explaining practice arrangements to new patients and those seeking temporary cover.
  • Ensuring new patient registration forms are correctly completed and supported by all necessary paperwork and registering the new patient on the system as quickly as possible.
  • Ensuring temporary resident forms are completed accurately and registration details entered into the computer promptly.
  • Managing workflow and tasks accurately, appropriately and as quickly as possible.
  • Handling ambulance transportation requests, recording details as appropriate or directing patients to the correct organisation.
  • Passing on information regarding unresolved or urgent problems at the end of each shift.
  • Updating the reception board at the end of each week with clinicians whereabouts.
  • Adhering to full end‑of‑day procedures prior to departure.
Job responsibilities
  • Hours of work for this vacancy: 16 hours.
  • Tuesday 11 am until 8 pm (1 hour lunch) – 8 hours.
  • Friday 8:30 am until 5:30 pm (1 hour lunch) – 8 hours.
  • Practice is open 8 am to 6:30 pm Monday‑Friday.
  • Provide late surgeries Monday‑Thursday 6:30‑8 pm, with one late evening per week; paid time and a half from 6 pm.
  • Welcome patients and visitors, ensuring proper check‑in/sign‑in and guiding them.
  • Direct patients to submit requests via NHS App or practice website or complete requests on their behalf using AccuRx Total Triage.
  • Book routine nursing appointments and recalls with sufficient information.
  • Receive and make calls, divert calls, take messages, and ensure confidentiality procedures.
  • Collaborate with Duty GP to manage incoming triage requests quickly, accurately and effectively.
  • Ensure flow of patients through waiting rooms into consulting and treatment rooms.
  • Respond to all queries and requests for assistance from patients and other visitors.
  • Advise patients of relevant charges for non‑NHS services, accept payments and issue receipts.
  • Ensure new patient registrations are completed correctly and within preset deadlines.
  • Manage workflow, tasks and emails accurately and promptly.
  • Keep reception and waiting areas clean and tidy.
  • Pass on information regarding unresolved or urgent problems at day end or duty end.
  • Adhere to full end‑of‑day procedures, ensuring reception area and building secure.
  • Keep computer database up‑to‑date and accurate.
  • Respond to internal and external emails in accordance with practice computer and email policies.
  • Comply with health and safety requirements of the site at all times.
  • Attend practice team meetings and training sessions as arranged.
  • Complete mandatory training as expected.
  • Provide cover across patient services to support medical secretaries and other administrative staff, including emergency evening cover.
  • Job type: Part‑time, Permanent.
Qualifications
  • GCSE grade A to C (or equivalent) in English and Maths.
  • Experience of working in a busy customer‑facing role both in person and on the telephone, including clerical or administrative functions, with a high level of customer service and satisfaction.
  • Experience of SystmOne clinical system would be beneficial but not essential; full training provided. Confidence with Microsoft Office packages and software helpful.
