The RoleApplications are invited from enthusiastic and motivated candidates for the part‑time post of Higher Level Medical Secretary within the Microbiology Department at Queen Elizabeth University Hospital. The Diagnostic Clinical Microbiology Service is delivered across two sites – Glasgow Royal Infirmary and Queen Elizabeth University Hospital – providing a comprehensive microbiology service to hospitals, general practice, the private sector and academic partners.
Based within a state‑of‑the‑art laboratory environment, you will provide an effective data administration support service, delivering IT, administrative and clerical functions in a timely manner to support the ongoing work of the Microbiology service. The role contributes to an environment that is safe and conducive to best working practice while supporting clinical, public health and research activity.
All roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde can only issue a Certificate of Sponsorship where these are met.
Duration, Location, and Working Pattern- The post is based within the Microbiology Laboratory at Queen Elizabeth University Hospital, Glasgow.
- The hours of work are 22.5 hours per week, worked over 3 days.
- This post does not support home working.
- The salary is pro‑rata for part‑time hours.
You will provide a comprehensive data administration and clerical support service to the department, working both independently and collaboratively with the wider laboratory team to ensure duties are completed in a timely and effective manner.
This includes: extracting and collating data from information systems such as Telepath, producing and managing weekly and monthly statistical spreadsheets, and preparing and distributing summary and extract reports; maintaining accurate records within departmental systems, including recording sickness absence and other leave, and supporting the preparation of data for departmental and external meetings; managing telephone enquiries on behalf of consultants and clinical staff, ensuring accurate and timely communication; and providing administrative support to meetings, including minute‑taking.
The role involves the use and management of systems such as SSTS, PECOS, QPulse and the laboratory LIMS system to generate essential outputs for clinical, public health, research and national surveillance purposes.
Knowledge, Training, Qualifications and Experience Required- Applicants should hold an HNC in Secretarial Studies, Business Administration or Information Technology, or have equivalent relevant experience.
- Good knowledge of IT systems, ideally within a laboratory environment, and competency in Microsoft Excel.
- Strong written and verbal communication skills, excellent organisational abilities and experience of working within a team.
- Experience working within a clinical laboratory environment and a working knowledge of medical or microbiological terminology is desirable.
