Job Description

Job title: Admin / IT Assistant

Location: George Armitage House, Burton Leonard, This job will also entail regular travel across North Yorkshire for which travel expenses will be paid from your base at the above location.

Actual Salary:

Hours: Full time 35 hours

1*. Main purpose of the job*

Provide administrative support to ensure the smooth running of the Dementia Forward office functions and services including providing assistance to support the Senior Leadership Team and wider Dementia Forward Staff.

Provide ad-hoc support for the helpline to cover for absences/busy periods.

To maintain administrative systems and procedures

Provide 1st Line IT Support for any IT Issues

2. Position in the organisation

Reports to the Head of Business Operations

Liaises at all levels internally and externally

3. Scope of the job

Provide admin and IT support for the operations team and wider Dementia Forward staff.

Answer phone calls and direct people to relevant workers.

4. Duties and key responsibilities

Admin Support

Record and collate all service statistics and produce monthly reports

Responsibility for the safe and confidential storage of all documentation under the Data Protection requirements

Take all reasonable care to promote Health & Safety at work in all the office environments to the benefit of all employees including the post holder

Replenish office stationary etc.

Prepare mail-outs on a regular basis

Archive and store records and paperwork in line with policies.

Ensure the maintenance of the office equipment is undertaken on a regular basis e.g. photocopier

Finance

Daily recording and banking of income and expenditure

Maintain petty cash as per protocol

Helpline

Provide ‘overflow’ support for the helpline, taking referrals when required, collecting client details and referring on to Dementia Forward Support services

IT

Provide 1st line support for any IT Issues

Log all calls in raiseaticket.com

Ensure all calls completed within agreed SLA’s

Manage and complete PAT Test maintenance program across all buildings & equipment.

General

There are times when staff are required to cover services when necessary

Support the fundraising team when necessary outside working hours

Actively undertake mandatory training in the following areas: Safeguarding, Mental Capacity Act, Health & Safety at work, Policies and Procedures, Lone Working, First Aid and Food Hygiene

Be prepared to undertake further training should it be deemed appropriate and relevant to the role

Job Type: Full-time

Pay: £14.49 per hour

Expected hours: 35.0 per week
