Job Responsibilities
  • Maintain and monitor the practice appointment system.
  • Process personal, telephone and e‑requests for appointments.
  • Answer incoming phone calls, transferring calls or dealing with callers’ requests appropriately.
  • Front desk duties, including correct procedure for arriving patients.
  • Handle prescription requests.
  • Signpost patients to the correct service.
  • Initiate contact with and respond to requests from patients, team members and external agencies.
  • Read code data on SystmOne.
  • Photocopy documentation as required.
  • Data entry of new and temporary registrations and relevant patient information.
  • Input data into patients’ healthcare records as necessary.
  • Direct requests for information (e.g., SAR, insurance/solicitors letters and DVLA forms) to the Medical Secretary.
  • Manage all queries efficiently.
  • Carry out system searches as requested.
  • Maintain a clean, tidy, effective working area.
  • Monitor and maintain the reception area and notice boards.
  • Support all clinical staff with general tasks as requested.

  • Educated to GCSE level or equivalent.
Desirable Qualifications
  • GCSE Mathematics & English (C or above).
  • AMSPAR Receptionists Qualification.
  • NVQ Level 2 in Health and Social Care.
Experience
  • Experience of working with the general public.
  • Experience of administrative duties.
  • Experience of working in a health care setting.
  • SystmOne experience.
Skills
  • Excellent communication skills (written and oral).
  • Strong IT skills.
  • Clear, polite telephone manner.
  • Competent in the use of Microsoft Office and Outlook packages.
  • Effective time management (planning & organising).
  • Ability to work as a team member and autonomously.
  • Good interpersonal skills.
  • Problem solving & analytical skills.
  • Ability to follow policy and procedure.
