Abouttherole Themainpurposeofthejob ToassistinprovidingtimelyestatesandvaluationadviceandservicesinthemanagementanddevelopmentoftheCouncilsestate. Toensureanefficientandeffectivecorporateestatethatmakesbestuseofandextractsoptimumvaluefromtheassets. Toassistinensuringthatallinternalcontrolsystemsareeffective,efficientanduptodateincludingtheassetdatabasesandregisters,AssetManagementPlan,GISsystemsandpropertymanagementsoftware.Maincontacts Councillors,officers,tenants,contractors,publicandprivatesectorbodies,charitableorganisations,statutoryauthorities,utilitiescompaniesandmembersofthepublic. Themainpurposeoftherole: ToassistwithreportingverballyandinwritingfortheHeadofService,DeputyChiefExecutiveandStrategicDirector,CorporateBoardsandGroupsandadvisingCouncillors.ToadheretotheprinciplesandpracticesestablishedwithinCouncilflagshipactivitiesandstrategiesincludingtheAssetManagementPlan,EqualityandDiversity,RiskManagement,BusinessContinuityandDisasterRecoveryandcapitalprojects. Ensurethatallinternalcontrolandsoftwaresystemsareuptodateandworkingeffectivelyandefficiently.Ensurethatallworks,servicesandsuppliesareprocuredinaccordancewithprocurementguidelines,policiesandstatutoryrequirements. EnsuredemonstrablevalueformoneyintheprocurementandmanagementofallrequisiteelementspertainingtotheCouncilsestate. InconsultationwiththeHeadofServiceandEstatesandPropertyPortfolioManageridentifyopportunitiesforinvestment,valueformoneyandserviceimprovements.TocontributetotheformulationofCouncilpolicy,particularlyinrelationtotheCouncilsestateandvaluationsservices. Toparticipateincorporate,professionalandstakeholderworkinggroupsasrequired. AttendcommitteeandothermeetingsfromtimetotimeasrequiredbytheHeadofServiceand/orEstatesandPropertyManager. ActivelypromoteandmarkettheservicesoftheAMPSteamandtheCouncilsothattheyareperceivedinapositivewaybyallstakeholdersandpartners.TomanageandmonitortheAMPSteamsbudgetandrecommendactionwherespendingorincomeisnotinline. Attendeveningmeetingsandsuchoutofhoursmeetingsasmaybenecessarytofulfiltherequirementsofthepost. ToassistwithperformanceandbenchmarkinformationtodemonstrateValueforMoneyfortheservicesprovidedasandwhenrequired.Specificdutiesandresponsibilities Toassistwiththepreparationandsubmissionofdocuments,papersandevidencetotribunals,Courtorotherstatutoryorquasi-statutorybodiesonbehalfoftheCouncil. TodeputiseforthePropertyPortfolioManagerintheirabsenceinrelationtotheresponsibilitiesoftheEstatesTeamand,ifnecessarytheBuildingServicesTeam.Tobeproficientintheuseofsoftwareforassetandestatemanagementpurposes,includingmaintaininganuptodateAssetManagementPlan,AssetRegisterandestatesdatabases. Tobecustomerfocusedtomeetcurrentandfuturecustomerneeds,assistingasrequiredwithbenchmarkingexercisesandwithservice,userandstakeholderconsultations.Establishandmaintaineffectiveandpositiveworkingrelationshipswithallrelevantinternalandexternalclients,colleagues,keypartners,tenantsandstakeholders. Promoteeffectiveserviceallianceswithotherpartners,serviceprovidersandstakeholderssoastoimprovetheefficiencyandeffectivenessoftheTeamsServices.SupporttheAMPSteamoutofhoursdutyrole,includingevenings,weekendsandpublicholidays. ToappointandmanageexternalconsultantswhenappropriateandasdirectedbytheHeadofServiceand/orPropertyPortfolioManager. Toassistandsupportwithleading,managinganddevelopingthestaffwithintheEstatesTeamandthePropertyAdministrationteamPersonalandsensitivedata YouwillhaveregardforthedutyofcareowedtopersonaldataandsensitivepersonaldataandanyotherconfidentialorsensitiveinformationwhichyouaccessinthecourseofyouremploymentensuringadherencetotheDataProtectionActandtheCouncilsInformationSecurityPolicyandrelatedguidance. TalentdevelopmentWehaveatalentdevelopmentprogrammethatincludesregularone-to-ones,mid-yearreviews,endofyearperformancereviewsandastrongandvariedlearninganddevelopmentprogramme. Youwillbeexpectedtogetinvolvedinthistalentprogrammetoensureyouareperformingatthehighestlevel.
